Vestry Meetings Emmanuel Episcopal ChurchVestry Meeting Minutes May 17, 2006 Draft ñ 6/12/2006 Meeting called to order at approximately 8:10 p.m. Attending: Fr. David, Sam Adams, Megan Brooks, Kitty Butt, Carol Carpenter, Jan Faller, Dave Fleming, Norm Odden, Amy Otworth, Carol Perry, Bob Uzenoff, and Laura Watanabe. Apologies: Dede Anderson and Steve Davis. Opening devotions were given by Megan Brooks followed by Emmanuel time. Minutes of Vestry Meeting ñ The April 11, 2006 Vestry Meeting minutes were made available to the members of the Vestry to identify any corrections that needed to be made. Robert U. requested that any reports referred to or relied upon by the Vestry when motions are made, be incorporated and made part of the final Vestry Meeting minutes. With the exception of this request, no other corrections were made to the minutes. David Fleming moved to approve the April 11, 2006 Vestry Meeting Minutes; Carol Carpenter seconded; all in favor. Treasurerís Report ñ Norm O. provided us with the Treasurerís Report. Following his review of the Treasurerís Report, Megan B. moved to approve the Treasurerís Report; Kitty Butt seconded; all in favor. Capital Funds Progress ñ Fr. David reports the drive is doing well, with the funds raised to date approaching $950,000. Carol Carpenter, Megan Brooks and Ed Michl are all assisting with the Capital Funds Campaign. A brochure is being prepared as part of the Capital Funds Campaign. Fr. David noted the significance of attempting to raise as much funds for the Campaign as possible at this time given the financial and other considerations that need to be made with respect to the building plans. Architectural Design/Building Planning Progress ñ Fr. David reports on the progress of the architectural design. The plans are going well. They continue to meet regularly to discuss and finalize details regarding the architectural design. They are getting costs together for the building, which should be available by next month. Currently under consideration, is the possibility of building out space for the Music School. It is anticipated that once we have gotten together the costs for the building, it will be presented to the Music School for consideration. The Kitchen Committee has all signed off on the location of the kitchen, and Gwen Lomas has drawn the basic configuration of the kitchen. Fr. David advised that because of new laws requiring 100 ft. set backs for churches, we will need to obtain variances from the Zoning Board(s), which we may begin to do in late June. George Guidera recommends that we all attend the Zoning Board meeting regarding same. Fr. David also intends to canvas the neighborhood to obtain support for the variance(s). Following these discussions, a motion was made by Jan Faller to approve and move plans forward to the Zoning Board; seconded by Norm O; all in favor. 2006 Accountability ñ Areas of Concern: Nursery School - It was noted that enrollments in both programs were down this year. Projected expenses for the Nursery School are approximately $98,000. A copy of the proposed budget for the Nursery School, forwarded to Kitty Butt by Maureen Tartaglia, was provided to the Vestry for its review and consideration, a copy of which will be annexed hereto. David Fleming made a motion to approve the proposed operating budget; Amy O. seconded; all in favor. Buildings and Grounds ñ Fr. David is in the process of locating a person suitable to assume this position. In the interim, Bob Rowland continues to do work (i.e., the water system). The issue was raised whether to consider outsourcing fall and spring clean up. It was agreed that this matter would be addressed before the fall clean up. Diocese ñ Presently, there is a serious candidate under consideration to assume accountability for this role. Reports The Gathered Community ñ Fr. David Worship ñ Steady Attendance; 100 total per week. Music/Choir ñ Work in progress. Weston Music Center ñ Good conversations about project. Ushers ñ Robert U. will take role. Readers ñ OK. Flowers ñ OK. Altar Guild ñ Needs additional retooling. Acolytes ñ OK. Messenger ñ Soon. Web Site ñ To be addressed by Fr. David. Sam Adams has offered to assist Fr. David. Publicity ñ Good progress. Put Heifer project in. Commuters ñ To schedule to meet in NY City late May 2006/early June 2006. Administration ñ OK. Church School ñ Solid improvement with 3 class programs. Confirmation ñ Winding up ñ good year. Wednesday Bible Study ñ Islam program popular ñ new information from trip will be helpful. Pastoral Care ñ Baptism on Pentecost. Communication good and helpful. Cemetery ñ Plans moving forward for expansion. Diocese ñ Fr. David provided further update, which included certain matters still in dispute and currently the subject of litigation. General Convention is scheduled for June 2006. Building and Grounds ñ David Fleming Parish clean up went forward as scheduled on April 30, 2006. Mike Otwo rth coordinated this effort. Outreach ñ Dede Anderson and Carol Carpenter are going to meet with Julie Bliss soon regarding redevelopment. Evangelism ñ Kitty Butt ñ Busy schedule; look to schedule the newcomersí cocktail party for the fall. Fellowship ñ Carol Perry ñ The Progressive dinner on May 13, 2006 was a great success. There were 67 people in attendance. Youth ñ Amy Otworth ñ Amy O. is grooming Bill Parkhurst to assume primary responsibility for this area. Consideration is being given to plan a camp out and bowling outing. The next Vestry Meeting is scheduled for Tuesday, June 13, 2006 at 8:00 p.m. in the Parish Hall.
